Public Speaker Sharing

New World Scheduler Public Speaker Sharing allows you to share your local Public Speaker information with nearby congregations, as well as Send and Receive Public Speaker Requests directly from New World Scheduler.

Changes made to your Public Speakers will automatically be shared with all Approved congregations in your circuit, and any other Circuits you are in.

Public Speaker Sharing is self-managed by all congregations within a circuit. Since elders already personally know other elders in their circuit, this ensures Public Speaker Sharing remains secure.

To open Public Speaker Sharing, click Congregation > Public Speaker Sharing

Enable Public Speaker Sharing

  1. Before enabling Public Speaker Sharing, please ensure:
  2. Click Congregation > Public Speaker Sharing
  3. Click Enable Public Speaker Sharing
  4. Select your Country
    • Note: If you are in the United States, also select your Region

Circuits

The Circuits list shows all Circuits in a selected Country or Region.

You should Join or Create your circuit. You might also choose to join any nearby circuits with whom you will share or request Public Speakers.

Naming Circuits

Circuit Names should please follow the same format as given by your local branch, but without the “subdivisions” or “sections”.

  • E.G. N-10-A should be N-10

The only exception is foreign language Circuits, which may decide to keep the “section” to differentiate themselves from the local language.

  • E.G. NJ-12-S

Since each branch territory names circuits differently, NW Scheduler does not restrict the Circuit Name.

Create your Circuit

  • Note: You should only create your Circuit if it doesn’t already exist, and please name your circuit correctly
  • Important: You should be ready and willing to approve other congregations that join this circuit. Public Speaker Sharing is self-managed by all congregations within a circuit. Since elders already personally know other elders in their circuit, this ensures Public Speaker Sharing remains secure.
  1. Click Congregation > Public Speaker Sharing
  2. Select your Country
    • Note: If you are in the United States, also select your Region
  3. If your circuit does not already exist: Click Create My Circuit. Your circuit will now be created and you will be automatically joined and Approved

Join a Circuit

  1. Click Congregation > Public Speaker Sharing
  2. Under Circuits, select your Country
    • Note: If you are in the United States, also select your Region
  3. Select the Circuit you wish to join
      • Note: Please only join your circuit and neighbour circuits with whom you will request Public Speakers
  4. Click Request Join
  5. Choose if your congregation is in this circuit or not
    • If you choose yes: Your Request to Join will be as a Congregation in this circuit. Your circuit name will be changed to match this circuit name
    • If you choose no: Your Request to Join will be as a Guest Congregation from a neighbouring circuit
  6. Wait for an Approved Congregation already in that Circuit to Approve your request
    • Note: You could phone or email them to verify who you are and ask them to Approve you. Public Speaker Sharing is self-managed by all congregations within a circuit. Since elders already personally know other elders in their circuit, this ensures Public Speaker Sharing remains secure.
  • Note: In rare cases a brother might create a Circuit, but then stop using NW Scheduler. Later other congregations try to join this circuit, but are unable to be approved. In such cases, please Contact Us with your Country, Region and Circuit Name and we can assist. Please verify that you have first tried to personally contact that congregation.

Rename Circuit

  1. Click Congregation > Public Speaker Sharing
  2. Select the Circuit you wish to rename
  3. Click Rename Circuit
  4. Enter the new Circuit Name
  5. Click Confirm
    • Note: This will change the Circuit Name for all congregations in that circuit

Leave Circuit

  • Note: Before you can leave a circuit, you must first Cancel or Deny any outstanding Public Speaker Requests from that circuit
  1. Click Congregation > Public Speaker Sharing
  2. Select the Circuit you wish to leave
  3. Click Leave Circuit
  4. You will then be given the option to remotely delete your Public Speaker data from all congregations in that circuit. We recommend selecting No, especially if you have sent or received any Public Speaker Requests.

Congregations

The Congregations List shows all congregations in the selected Circuit, including their Status.

Congregations who have Requested to Join, but have not yet been Approved or Denied, are shown in orange.

Congregations who are in this circuit have a dark green icon, whereas Guest Congregations have a light green icon.

Approve Congregation

  1. Select the Congregation
  2. Click the Congregation Information button  (down the bottom) and ensure you recognize and trust this congregation
    • Note: You could message or email them to confirm they made this request
  3. Click Approve Congregation
  4. This congregation can now share Public Speakers and make Public Speaker Requests

Deny Congregation

  1. Select the Congregation
  2. Click Deny
    • Note: The congregation will immediately stop sharing Public Speakers and Public Speaker Requests, and will be automatically deleted in 60 days.
  • Note: If you Deny a congregation that was already Approved and has outstanding Public Speaker Request, you may cause problems for that congregation

Guest Congregations

Guest Congregations are congregations who have been approved to join your Circuit, but are not in your Circuit. They are in a nearby Circuit.

Important: Guest Congregation Sharing is one-way sharing. This means any Guest Congregations can receive your Public Speakers and can make Requests of your speakers, but you will not be able to see or request their speaker. If you would like to see or request their speakers, you must join their Circuit as a Guest Congregation.

The reason for this is simple: Not all congregations in a circuit want to receive or request speakers from another circuit. Therefore if you want to do this, you must join that circuit as a Guest Congregation.

Requests

The Requests List show all Incoming and Outgoing Requests that have been made with your congregation.

  • Approved requests are show in green
  • Pending requests are shown in orange
  • Denied requests are shown in red

Requests are updated when you first open NW Scheduler, or you can click the Refresh button. Sometimes requests might take several hours to update.

An orange exclamation mark ! will alert you to any Incoming Requests and you should promptly handle these.

Request Public Speaker

  1. Click Schedule > Public Talks Local
  2. Select the week you want to schedule
  3. Click Public Speaker
  4. Select the Congregation
    • Note: If the Congregation is Shared, a “shared” icon will appear
  5. Select the Public Speaker
    • Note: You can only schedule a Public Speaker who is available for that week. Click Availability for detailed information
  6. Select an Outline
  7. Click Send Request
  8. Verify the information is correct, and optionally add a message for their Public Talk Coordinator.
  9. Click Yes
  10. Click OK

Receive Public Speaker Request

  • Note: You can also navigate directly to this Request by clicking the Navigate to Request button
  1. Click Schedule > Public Talks Away
  2. Local the Public Speaker and Date the request was for
    • Note: This will be shown in orange
  3. Click Public Speaker Request
  4. Click Approve or Deny
  5. Verify the information is correct, and optionally add a Message for their Public Talk Coordinator
  6. Click Yes
  7. Click OK

Fixing or Diagnosing Sync or Sharing Problems

There are several things both you can do, and other congregations in your Circuit can do, to diagnose and fix Public Speaker Sharing Problems.

1. Update NW Scheduler

Ensure your congregation and all other congregations in your Circuit are using the latest Build version of NW Scheduler.

2. Refresh Sharing

  1. In the bottom-right corner, click the Refresh button
  2. Ask other congregations in your Circuit to also click the Refresh button
  • Note: This button causes a fresh copy of your Public Speaker data to be sent to other congregations. It also forces a check for any new data from other congregations. It will also “reset’ and fix all Public Speaker Sharing Assignments.
  • Note: There is no need to regularly do this, but if any congregation is having problems this will likely fix the problem.

3. Check Sharing Logs

  1. In the bottom-right corner, click the Public Speaker Sharing Logs and carefully check the Sharing Logs
  2. Ask other congregations in your Circuit to also click the Public Speaker Sharing Logs and carefully check the Sharing Logs
  • Note: This will show you exactly what is being transferred to/from other congregations, and hopefully will help you diagnose any problems.

4. Leave and Re-join Circuit

If a congregation is still having problems, they should Leave and then Re-join the Circuit.

If all congregations in a Circuit are having problems, you should Delete and re-create the Circuit.

Common Questions and Problems

Circuits

In some instances a brother might create a Circuit, but then stop using NW Scheduler. Later other congregations try to join this circuit, but are unable to be approved.

In such cases, please Contact Us with your Country, Region and Circuit Name and we can assist.

If a duplicate Circuit has been created, whichever congregation created the circuit should either remove it or rename it.

If no congregation still has access to the circuit or no one can delete it, the circuit will be automatically deleted after 60 days.

If a circuit is still showing after 60 days, please Contact Us and we can manually remove it.

Public Speaker Sharing allows you to join up to 6 different circuits. This cannot be changed.

Six circuits represents over 120 different congregations and over 2000 different Elders and Ministerial Servants, which is more than enough to schedule your Public Talks.

If you need to schedule Public Speakers from other congregations, please do so via Public Talks Local.

Congregations and Public Speakers

Yes, any changes made to your Public Speakers will automatically be shared with all Approved congregations in your circuit.

You will need to do this manually, in the normal manner.

Only congregations who have enabled Public Speaker Sharing are Shared.

When a congregation joins a circuit, they must choose if their congregation is in this circuit or not.

  • If they choose yes: The Request to Join will be as a Congregation in this circuit.
  • If they choose no: The Request to Join will be as a Guest Congregation from a neighbouring circuit

If they chose wrong, or made a mistake, they should Leave the circuit and re-join.

Technically you can adjust this information in Congregation > Circuit, Congregations and Public Speakers, however if a congregation is shared and makes any changes to their own congregation information, this will overwrite your changes.

Each congregation is responsible for setting their own congregation name, meeting times, etc.

Requests

You will need to do this manually, in the normal manner.

Only congregations who have enabled Public Speaker Sharing are Shared.

Requests are updated when you first open NW Scheduler, or you can click the Refresh button.

Sometimes requests might take several hours to update.

If you have waited 24 hours and the request status still has not updated, please check the Public Speaker Sharing Logs.

An orange exclamation mark ! will alert you to any Incoming Requests and you should promptly handle these.
