New World Scheduler can help your congregation create, record and print Territory Assignment Records for all maps worked in your congregation territory.

To view and edit Territory Assignment Records, click Congregation > Territories

Territories

New World Scheduler Territories displays all your congregation Territories, including the Territory Code and Number, Area, the Publisher currently assigned, the date of Assignment and the date the territory was last Completed.

Territories can be searched, as well as filtered by TypeArea, Person, Overdue, Not Completed or No Campaign.

Congregation Premium users may add up to 1000 Territories, while Congregation Standard and Individual users may add up to 100. Territory Assignment Records history is kept for 3 years.

Territory Information

Territory Information displays the basic information about the selected territory.

Territory Number

This must be a number. This number is combined with the Territory Type Code to determine how the territory will be displayed. E.G. A-1

You can have multiple territories with the same number, but different Code. E.G. C-1, R-1

Territory Suffix

This can be a letter or number which will be added to the end of the Territory Number.

E.G. 1-A, 1-B, etc.

Territory Type

The type of the territory. Includes a Code and Name.

  • Example: C – City, R – Rural

The Code is combined with the Territory Number to determine how the territory will be displayed.

  • Example: C – City territory number 1 will display as C-1

Click + to add a new Territory Type, or the delete button to delete an existing Territory Type.

Territory Area

The area of the territory.

Click + to add a new Territory Area, or the delete button to delete an existing Territory Area.

Link

A link to the territory. Could be a Google Maps location, or an online map file, or online spreadsheet, etc.

This link is used to create a QR code of the territory when the Territory Cards are printed, and will also display on the NW Publisher app. If the link is too long, a QR code cannot be created, however the link will still display on NW Publisher.

Notes (Custom 1)

A custom field to display information about the territory. The default value is Notes. Will display on both the printed Territory Card and the NW Publisher app.

Do Not Calls (Custom 2)

A custom field to display information about the territory. The default value is Do Not Calls. Will display on both the printed Territory Card and the NW Publisher app.

Notes from Publisher

A temporary field that displays any notes entered by the assigned publisher when they “Check In” or return the territory using the NW Publisher app.

The Territory Servant can use the Notes from Publisher to make any necessary adjustments, and then delete the notes.

If any returned territory has Notes for the Territory Servant, this will show on the Me view for the Territory Servant.

Territory Assignments

Territory Assignments shows all current and past assignment of the selected territory. Territory Assignment History is kept for 3 years.

Assign or Check Out Territories

  1. Click Congregation > Territories
  2. Click Assignments
  3. Select the Territory you wish to Assign
  4. Select the Publisher you wish to Assign to
    • Note: All Active persons who have a Privilege of UBP, Publisher, MS or Elder can be assigned territories.
  5. Set the Date you wish to make the Assignment
  6. Click Assign
  7. Optionally, tick Campaign to indicate if this is being covered during a campaign.
  • Note: If you have enabled the NW Publisher app and the App Feature ‘Show Territory Assignments’, you should now click App > Send App Data

Return or 'Check In' Completed Territories

  1. Click Congregation > Territories
  2. Click Assignments
  3. Select the Territory to Return or ‘Check In’
  4. Set the Date the territory was Completed
  5. Click Completed
  • Note: If you have enabled the NW Publisher app and the App Feature ‘Show Territory Assignments’, publishers can Return (Check In) Completed territories from within NW Publisher app. They can also include optional Publisher Notes. The data still must be received and imported into New World Scheduler by an elder.

Territory Map

Territory Maps shows the electronic map of the selected territory. The map will display on the Territory Card and in the NW Publisher app.

Maps should first be created using Google Maps or any other software, and then saved in either PNG, JPEG or PDF format. Maps cannot be ‘created’ in New World Scheduler.

The map file size must be 200KB or less, as New World Scheduler does not support maps larger than 200KB. 200KB is more than sufficient for displaying on the NW Publisher app or printing.

If your map is an image (PNG or JPEG) and is larger than 200KB, New World Scheduler can automatically compress the image to under 200KB when you adding.

If your map is a PDF and is larger than 200KB, you must manually compress the file before adding. Please see Common Questions > How to compress a PDF

Add a Map

  1. Click Congregation > Territories
  2. Click Map
  3. Select the Territory
  4. Click Add
  5. Select either a JPEG, PNG or PDF file on your computer
  6. Click OK
  7. Important: If the file size is 200KB or less, the map will be automatically added, otherwise the file must first be Compressed. JW Schedules does not support maps larger than 200KB.
  8. Once a map has been added, you will see a small thumbnail. Double-click to see the full-size map.

Remove a Map

  1. Click Congregation > Territories
  2. Click Map
  3. Select the Territory you wish to delete
  4. Click Remove

Add Territories

  1. Click Congregation > Territories
  2. Click Information
  3. Click New
  4. Set the Territory Number
    • Note: This must be a number.
    • Note: You may have multiple territories with the same number, but different Code. E.G. C-1, R-1
  5. Optionally, select a Territory Code
  6. Optionally, set an Area for this Territory.
  7. Optionally, enter a Link for the territory
    • Note: This link will be shown on the NW Publisher app and could be a Google Maps location
  8. Optionally, enter any Notes
  9. Optionally, add a Map. See Add Maps.

Delete Territories

  1. Click Congregation > Territories
  2. Select the Territory to delete
  3. Click Delete
    • Note: This will also delete any Assignment History and Map for that territory.

Import and Export Territories and Territory Assignments

Territory Requests

Territories can be requested using the NW Publisher app if the Show Territory Assignments App Feature is enabled.

Publishers can see, request and return Territories by:

  1. In NW Publisher app, tap Me
  2. Tap Territories

Returned Territories must be manually Received and Imported into New World Scheduler. If any returned territory has Notes for the Territory Servant, this will show on their Me view.

Territory Requests must be manually Received and Imported into New World Scheduler. They will then appears as a Custom Task for the Territory Servant who can then make the Territory Assignment.

Phone Witnessing or Letter Writing Territories

To create a phone witnessing or letter writing territory or map, first see Add Territories and follow steps 1-4.

Next, there are two methods you can use to create a phone witnessing or letter writing map:

  1. Create a PDF document of the phone witnessing or letter writing “map”, OR
  2. Create a Google Sheets spreadsheet of the phone witnessing or letter writing “map”

Create a PDF document of the phone witnessing or letter writing "map"

Create a PDF document of the phone witnessing or letter writing “map” (the list of numbers or addresses) and add this PDF as a Map of the territory. Publishers or Group Overseers can then be assigned the Territory, and easily see which numbers to call or write to.

  • Note: They will still need to manually print and mark off the numbers/addresses they call or write to (like a normal witnessing map). They cannot “edit” the PDF.

Create a Google Sheets spreadsheet of the phone witnessing or letter writing "map"

Create a free Google Sheets spreadsheet containing the phone numbers or addresses. Google Sheets then allows you to create an “Editor link” for the spreadsheet. Add this Link to the Territory.

Publishers or Group Overseers assigned to this Territory can then use the link to see the numbers/addresses, and mark them off as they go.

When a publisher sends data back to the congregation, it is not automatically received by New World Scheduler. It must be manually imported by an elder into New World Scheduler. This is for security reasons and to comply with sfl.

Server data storage and usage is very expensive. We have selected a file size limit that balances functionality with cost.

Additionally, as the map files are designed to be viewed on mobile devices, a larger file size is not necessary.

There are many ways to compress a PDF, depending on how you created the PDF and what software you have. We recommend trying the following:

  1. Remove any graphics or pictures from the PDF
  2. Re-save the PDF with a lower quality setting
  3. Visit https://smallpdf.com/compress-pdf and compress the PDF
  4. Do a google search for “How to compress PDF”

Please carefully re-read either the Add, Edit or Delete Territory sections above.

To prevent accidental adding, editing or deleting, you must first click the Unlock icon before adding, editing or removing territories.

The branch made many significant changes to the new S-13 compared to the previous S-13.

The previous S-13 displayed all of the history of a territory, whereas the new S-13 only displays history which takes place in the selected Service Year.

Additionally, please note the directions for the Last date completed column: “When beginning a new sheet, use this column to record the date on which each territory was last completed.”

This means the column is only used ONCE, when you first start using that sheet. It therefore only shows the date a territory was last completed BEFORE the selected Service Year.

If a territory is completed during the selected Service Year, the Last date completed is NOT updated.

If a territory was not completed before the selected Service Year, no date will be shown. Or if the territory was only completed more than 3 years ago, no date will be shown.
